Secretariat correspondence procedure
Official correspondence to the APNIC Secretariat from Members and the community is received, considered and responded to promptly and transparently.
For the purposes of this page, ‘official correspondence’ refers to formal written communications to the APNIC Secretariat that require a response directly from the APNIC Director General (via signature or email). It does not include transactional communications that are a part of APNIC’s daily operations.
- Receipt
- All official correspondence (email or letter) received by the APNIC Secretariat is covered by this process.
- If the correspondence cannot be answered immediately by the Director General, the Secretariat will advise the provider of the correspondence that it will be noted, and a response will be provided after further consideration.
- An email response to the correspondence author, acknowledging receipt of the message, should be sent by the Secretariat ideally no later than two business days after receipt.
- Transparency
- The Secretariat will inform the correspondence author that all official correspondence will be published on the APNIC website unless the information is personal or sensitive.
- Consistent with APNIC’s legal obligations, correspondence that fulfils the criteria of a Protected Report under APNIC’s Whistleblower Policy will not be addressed under this procedure and will not be published.
- Consideration
- Correspondence received by the Secretariat will be triaged to assess urgency and complexity. The Secretariat will determine whether a response is required from the Director General or another APNIC staff member. Straightforward matters will be addressed promptly.
- Response
- Once the matter has been considered, a response will be provided to the author of the feedback and a copy of that response (and any actions being taken) will be logged to the Secretariat correspondence web page for full transparency.
